Farnham Homes For Ukraine (FHFU) are committed to protecting and respecting your privacy. For any personal data you provide for the purposes of your membership, FHFU is the Data Controller and is responsible for storing and otherwise processing that data in a fair, lawful, secure and transparent way.

What personal data we hold on you

You may give us information about you by filling in forms online or at an event or by corresponding with us by phone, email or otherwise. This includes information you provide when you register with us or participate in discussion boards on Social Media. The information you give us may include your name, date of birth, address, e-mail address, phone number, accommodation details and that of other family members. We may also ask for other relevant information in order for us to undertake our fundamental proposition of matching Ukrainian families with UK sponsors..

 

Why we need your personal data

The reason we need your Data is to be able to match Ukrainian refugee families with UK sponsor families and then monitor and support the process of bringing the families together, including post arrival support in the UK.


Our lawful basis for processing your personal is that we require a range of personal information in order to fulfil our core proposition effectively and meet the needs of our stakeholders.


Reasons we need to process your data include:

• Identify Ukrainian family requirements
• Specify sponsor family accommodation offering and requirements
• Match Ukrainian and UK sponsor families
• Advise on visa completion process
• Advise on travel and accommodation protocols and options
• Support on special need areas such as pet regulations
• Provide community support upon arrival including provision of resources donated by local individuals and organisations

 

We process this data on the lawful basis of consent. Therefore, we will also need your explicit consent to process this data, which we will ask for at the point of collecting it.

Who we share your personal data with

FHFU does not supply any personal data it holds for this purpose to any other third party. FHFU’s data processing may require your personal data to be transferred outside of the UK for the purposes of mail or other hosting. Where FHFU does transfer your personal data overseas it is with the appropriate safeguards in place to ensure the security of that
personal data.

If we are requested to provide any information to third parties for the purposes of meeting our objectives, we will only provide anonymous information e.g. trend reporting for local authorities. We will seek your specific permission if any personal information is requested.

 

How long we hold your personal data

We will hold your personal data on file for as long as you are registered with us. Typically, this will be during the period that either you are in a sponsor house if you are a Ukrainian family, or if you have a Ukrainian family staying with you, if you are a sponsor family.

 

Your rights regarding your personal data

As a data subject you may have the right at any time to request access to, rectification or erasure of your personal data; to restrict or object to certain kinds of processing of your personal data, including direct marketing; to the portability of your personal data and to complain to the UK’s data protection supervisory authority, the Information Commissioner’s Office about the processing of your personal data. As a data subject you are not obliged to share your personal data with FHFU. However, if you choose not to share your personal data with us we will not be able to register you or deliver services.
